JOB DESCRIPTION:

About the Position

The company is looking for a friendly, professional, and organized Receptionist to join our front desk team in Dubai. This is an excellent entry-level opportunity for candidates who are starting their career in administration and customer service.

As a Receptionist, you will be the first point of contact for our clients and visitors, creating a positive first impression of our business center. You will handle various administrative tasks, manage phone calls, coordinate meetings, and provide excellent customer service. This role is perfect for fresh graduates or candidates with minimal experience who are eager to learn and grow in a professional corporate environment.

Key Responsibilities

  • Greet visitors and clients in a warm, professional, and welcoming manner
  • Answer incoming phone calls promptly and direct them to the appropriate departments or personnel
  • Manage the reception area and ensure it remains clean, organized, and presentable throughout the day
  • Handle visitor registration procedures and issue visitor passes following security protocols
  • Receive and distribute incoming mail, packages, and courier deliveries to respective recipients
  • Schedule and coordinate meeting room bookings and appointments efficiently
  • Maintain accurate reception logbook and visitor records on a daily basis
  • Provide general information to visitors about building facilities, services, and directions
  • Handle basic administrative tasks including filing, photocopying, scanning, and document management
  • Assist with data entry tasks and maintaining office databases with accuracy
  • Manage office supplies inventory for the reception area and place orders when needed
  • Coordinate with building maintenance and cleaning staff to ensure facility upkeep
  • Handle customer inquiries and complaints professionally and escalate issues when necessary
  • Support other departments with administrative assistance during busy periods
  • Maintain strict confidentiality of sensitive information and company documents
  • Operate office equipment including multi-line telephone systems, printers, scanners, and copiers
  • Assist in organizing office events, meetings, and corporate functions when required
  • Monitor and report any security concerns or unusual activities to management
  • Prepare daily reports and summaries as requested by supervisors
  • Follow all company policies, procedures, and workplace guidelines at all times

Required Qualifications

  • High school diploma or equivalent qualification (Bachelor’s degree is a plus but not mandatory)
  • Fresh graduates are welcome to apply for this position
  • 0-2 years of experience in reception, customer service, or administrative roles
  • Excellent communication skills in English, both written and verbal
  • Professional appearance and pleasant, approachable personality
  • Strong customer service orientation with a genuinely friendly demeanor
  • Basic computer skills including proficiency in MS Office (Word, Excel, Outlook)
  • Good organizational skills and ability to multitask effectively
  • Ability to handle pressure and remain calm in busy or challenging situations
  • Punctual, reliable, and demonstrates responsible work ethic
  • Strong attention to detail and accuracy in work
  • Willingness to learn new skills and take on additional responsibilities
  • Team player with positive attitude
  • Valid UAE residence visa or eligibility to work in UAE

Preferred Qualifications

  • Previous experience working in a corporate office or business center environment
  • Arabic language skills, both spoken and written
  • Knowledge of operating multi-line phone systems and office equipment
  • Experience with visitor management systems or reception software
  • Certificate or diploma in Office Administration, Business Management, or related field
  • Professional grooming and business etiquette training
  • Familiarity with Dubai business culture and corporate environment
